Cross Bridge/Youth/Children’s Administrative Assistant

The Chinese Bible Church of Greater Boston (CBCGB) is seeking an administrative assistant.

Position Summary

The Chinese Bible Church of Greater Boston - a Bible-believing, non-denominational, evangelical church in Lexington MA - is seeking a full-time Administrative Assistant to serve our Cross Bridge, Youth, and Children’s ministries. This position will facilitate the mission of God by providing administrative support to Pastoral staff in those ministries. This position is both a paid staff role and a ministry in its own right.

Job Responsibilities

This is primarily English-speaking position that serves the Children’s Ministry, Youth Ministry, Cross Bridge (English-speaking adult ministry) at CBCGB, and if needed, assists in church-wide needs across CBCGB. Typical responsibilities include compiling and sending email announcements, handling data entry such as for attendance, purchasing and maintaining office supplies, physically managing storage such as for youth equipment, and updating websites and social media. Week by week needs will vary due to the fluid nature of the ministries, so this position is expected to be able to collaborate closely with ministry leaders and adapt to changing priorities.

Qualifications

As a member of the staff and as a ministry leader, the administrative assistant is most importantly required to be a born-again Christian, in an active relationship with Jesus Christ, and a member in good standing with CBCGB. CBCGB membership is highly desirable, but not mandatory. Here is the list of qualifications:

 

Detailed Qualifications:

  • US Citizen or permanent resident.

  • Born-again Christian, in an active relationship with Jesus Christ.

  • Computer literacy, including in Google Workspace.

  • Fluency in English speaking and writing.

  • Prior experience with administrative office work is a plus.

  • Ability to drive as needed for job-related duties.

  • Ability to perform light labor such as lifting office supplies.

  • Ability to work with multiple ministry leaders and balance priorities.

  • Ability to work independently without daily supervision.

 

Preferred Qualifications but not mandatory:

  • Member of CBCGB.

  • Bachelor’s degree or associate degree

  • Ability to understand and speak Mandarin.

  • 1+ years of experience in an administrative assistant role.

  • Experience with church management software (e.g. Planning Center)

  • Experience with project management tools (e.g. Trello, Motion)

Supervision

This position reports directly to Office Administration Director and Senior Pastor with a strong dotted line to the Cross Bridge Pastor, Youth Pastor, and Children Pastor.

Hours

This is a 40 hour / week office-based position. The makeup of these hours will be determined through discussion between the admin assistant and the Cross Bridge Pastor and, if need be, with the Youth Pastor or Children Pastor. Final approval will be from the Senior Pastor before starting. Working hours will be fixed at the beginning for payroll management. If needed, some weekend hours may be required during special events. Overtime is allowed but needs to be approved by Senior Pastor or Office Admin Director.

Appendix I: Detailed Examples of Duties

The following is a concrete example of breakdown of duties for a typical week, including hours. This is subject to change.

 

Children’s Ministry Specific Duties:

 

  1. Data Entry and System Maintenance

    • Attendance Data Management

      • Friday Nights: Enter attendance data and print updated attendance sheets for the upcoming week.

      • Sunday Mornings: Enter attendance data for Mustard Seed Sessions 1 & 2, Children's Worship, and Sunday School. Print updated attendance sheets for the upcoming week.

    • Child Information Form Management

      • Enter data from Child Information Forms, required once per school year for each child. Adjust workload based on visitor numbers, with increased activity during events like Mandarin Gospel Meetings, Mission Conferences, Christmas, and Easter. Expect a significant increase in workload in late August and early September, requiring approximately 2 hours per week and additional meetings.

    • Teacher and Volunteer Data Management

      • Enter and maintain data for teachers and volunteers supporting nine weekly ministries (Sunday School, Children's Worship, Mustard Seed, AWANA, Cubbies, Nursery - Friday night & Sunday, Philly, Bible Quiz). Duties include updating contact information for teachers/coworkers, CORI status, schedules, and quarterly curriculum. Expect a significant increase in workload at the beginning of each school year to update children’s grade-level information.

    • Curriculum Management

      • Enter Mustard Seed and Sunday School curriculum into the Children’s Ministry Google Drive database quarterly. Create and distribute copies of accompanying Bible verses.

  2. Check-In System Maintenance

    • Maintain the current children's ministry check-in system to ensure smooth operation.
      ​

  3. Website Maintenance

    • Maintain and update the Children's Ministry section on the CBCGB.org website.
      ​

  4. Budget Management

    • Maintain the children's ministry budget to ensure proper allocation of resources.
      ​

  5. Event Assistance

    • Assist in the planning and execution of annual children's ministry events, including Vacation Bible School (VBS) and the Fall Harvest Celebration.

 

 

Youth Ministry Specific Duties:

 

  1. General Responsibilities (Weekly or As Needed)

    • ​​Maintain and update records of student and family information.

    • Update information on social media platforms to reflect the current calendar and events.

    • Create and send out weekly announcement emails via Mailchimp.

    • Organize and digitize sermon notes, ALIVE lesson plans, and other files in Google Drive.

    • Collect, organize, and input youth ministry-related forms (missions, baptisms, retreats, etc.).

    • Organize, sort, and keep inventory of the youth closet.

    • Test wires and microphones used for youth ministry events.

    • Support graphic design needs for social media and event promotion.

    • Assist youth coworkers and pastoral staff with miscellaneous administrative tasks such as sorting, organizing, and printing.

  2. Sunday Morning (Sunday School) Responsibilities

    • ​Collaborate with Sunday School volunteers to gather and input student information.

    • Ensure the Sunday School room is stocked with pencils, attendance sheets, and other necessary supplies.

    • Stock the lobby Welcome Center with youth-related flyers and information.
       

  3. Friday Evening (ALIVE) Responsibilities

    • ​Prepare for Fall registration logistics, including tracking registration, promoting on social media, and providing information to other church communication channels.

    • Work with Friday night volunteers to gather and input student information.

    • Ensure ALIVE small group boxes are stocked with pencils, paper, and other necessary materials.

    • Print all necessary materials for Friday night programming.

    • Coordinate with Office Staff to enforce basement lights out at 9:45 PM.
      ​

  4. Youth Retreat Responsibilities (1-2 Times a Year)

    • Create bilingual registration forms and track registration.

    • Handle printing, sorting, and preparing retreat materials such as flyers, nametags, and booklets.

Cross Bridge Ministry Specific Duties:

 

  1. Communication and Coordination

    • Gather data, including announcements, sermon notes, and bulletin inserts. Draft, print, and collate the Cross Bridge bulletin and weekly announcements email.

    • Maintain the Cross Bridge worship roster and send out weekly duty reminders.

    • Maintain the Get Connected form for new visitors and email relevant information to ministry leaders or contacts of the related demographic fellowship or small group.

    • Update Cross Bridge social media and website as needed.
       

  2. Administrative Support

    • Update Cross Bridge offering and attendance records.

    • Collect paperwork for baptism and membership applicants, prepare certificates, and coordinate candidate interviews.

    • Purchase and maintain office supplies for Cross Bridge, Youth, and Children's staff.

    • Purchase and maintain paperware and plasticware supplies for Cross Bridge lunches and fellowships.
       

  3. Event and Program Preparation

    • Prepare handbooks and other paperwork for Cross Bridge retreats.

    • Ensure rooms are properly set up and supplies are stocked for Friday night fellowships.

Church-wide Specific Duties:

 

  1. Administrative Support

    • Collaborate with other office staff to provide administrative support for churchwide ministry events.

    • Enter and maintain background check information in Protect My Ministry.
       

  2. Package and Supply Management

    • Receive packages and move them to a designated space

    • Replace ink toner on office printing machines and order new supplies as needed.
